Arcam Healthcare Solutions (“Arcam,” “we,” “our,” or “us”) respects the privacy of individuals whose information we receive in connection with the healthcare support services we provide. This Privacy Policy explains how we collect, use, disclose, and safeguard information obtained through our website, telephone communications, text messaging, and healthcare support activities.
Our Role as a Healthcare Business Associate
Arcam provides healthcare support and care-management services, including Annual Wellness Visit (AWV), Chronic Care Management (CCM), and Remote Patient Monitoring (RPM) services, on behalf of healthcare providers and medical practices. In connection with these services, Arcam may create, receive, maintain, or transmit Protected Health Information (PHI) on behalf of healthcare providers that are covered entities under the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
Arcam acts as a Business Associate of these healthcare providers. Our use and disclosure of PHI is governed by applicable Business Associate Agreements, applicable law, and the purposes for which we have been engaged by the healthcare provider. The healthcare provider or medical practice remains responsible for its Notice of Privacy Practices and applicable patient rights under HIPAA.
Information We May Collect
Depending on your interaction with Arcam, we may collect:
- Name, mailing address, email address, telephone number, and mobile telephone number;
- Date of birth and demographic information;
- Healthcare provider and practice information;
- Appointment, scheduling, and care-coordination information;
- Health and medical information necessary to perform AWV, CCM, RPM, and related healthcare support services;
- Communications between you and Arcam, including telephone and text-message communications;
- Information you voluntarily provide through our website, forms, telephone calls, or other communications; and
- Limited technical information associated with use of our website, such as browser, device, or IP information, when applicable.
How We Use Information
We may use information to provide and coordinate services on behalf of healthcare providers; schedule or reschedule services; provide appointment reminders; communicate regarding AWV, CCM, RPM, care coordination, and related healthcare services; respond to questions; communicate with healthcare providers involved in your care when permitted; support healthcare operations and administrative functions; maintain and improve our services; protect against misuse or security incidents; and comply with legal and regulatory obligations.
Text Messaging and SMS Communications
If you provide a mobile telephone number and consent to receive text messages from Arcam Healthcare Solutions, we may send healthcare-related text messages, including scheduling communications, appointment reminders, AWV communications, CCM communications, RPM communications, care-coordination messages, requests for information, and other service-related communications.
Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of receiving healthcare services. You may opt out of text messages at any time by replying STOP. Reply HELP for assistance. After opting out, you may receive a final confirmation message. Wireless carriers are not liable for delayed or undelivered messages.
Mobile Information and SMS Consent
Arcam Healthcare Solutions does not sell, rent, or share mobile telephone numbers, SMS opt-in information, or SMS consent information with third parties or affiliates for marketing or promotional purposes.
Mobile information and text-messaging opt-in data and consent will not be shared with third parties or affiliates for their marketing or promotional purposes. We may use service providers that assist us in delivering communications or healthcare-related services when reasonably necessary and permitted by law. Such providers may use information only as necessary to provide services on our behalf and are not authorized to use SMS opt-in information for their own marketing or promotional purposes.
Protected Health Information
When information constitutes PHI under HIPAA, Arcam handles that information in accordance with applicable HIPAA requirements and our Business Associate Agreements. Arcam uses and discloses PHI only as permitted by those agreements, applicable law, and as necessary to perform the services for which we have been engaged.
When Arcam uses a subcontractor or service provider that creates, receives, maintains, or transmits PHI or electronic PHI on our behalf, we require appropriate privacy and security protections and Business Associate Agreements when required by law.
Text Messaging and Health Information
Standard SMS text messaging may involve privacy and security risks and may not provide the same level of security as a secure patient portal or other encrypted communication method. We encourage individuals not to send highly sensitive medical information by ordinary text message unless specifically instructed to do so. When appropriate, Arcam may request that sensitive information be communicated through a more secure method.
Disclosure of Information
Arcam does not sell PHI or personal information. We may disclose information to healthcare providers involved in your care; to service providers performing services on our behalf; as permitted for healthcare operations or other functions under our Business Associate Agreements; to comply with legal or regulatory requirements; to respond to lawful government requests; to protect rights, safety, or property; or as otherwise authorized or permitted by law.
SMS opt-in information and consent are excluded from disclosures for marketing or promotional purposes and will not be sold or shared with third parties or affiliates for those purposes.
Information Security
Arcam maintains reasonable administrative, technical, and physical safeguards designed to protect the confidentiality, integrity, and availability of personal information and PHI. No electronic communication or information-storage system can be guaranteed to be completely secure.
Website Technologies
Our website may use cookies or similar technologies for functionality, security, analytics, or performance. Because Arcam operates in the healthcare field, we take reasonable steps to avoid using website technologies in a manner that improperly discloses PHI.
Your Communication Choices
You may decline to provide optional information, decline or withdraw consent to receive text messages, reply STOP to discontinue SMS communications, reply HELP for assistance, or request an alternative reasonable method of communication when appropriate. Opting out of SMS communications will not affect eligibility to receive healthcare services.
Children’s Privacy
Our website and messaging services are not intended to independently solicit personal information from children under 13. When information concerning a minor is necessary for healthcare support services, it will be handled in accordance with applicable law and the requirements of the healthcare provider for whom Arcam is performing services.

We may update this Privacy Policy periodically to reflect changes in our services, technology, legal requirements, or privacy practices. When material changes are made, we will update the effective date and make the revised policy available through our website.
